The Bottleneck Problem: Your Business Is Only as Fast as Its Slowest Process

Sales are growing but delivery keeps slipping, and everyone is working harder. The real issue is usually one hidden bottleneck in your process — and business process improvement starts by finding it.

## The problem

A familiar pattern in growing businesses: sales pushes harder, the team works longer hours, and yet delivery timelines keep slipping. Customers wait longer. The founder gets pulled into more escalations. Everyone is busy, but the business feels slower.

Adding people rarely fixes this, because the constraint is rarely effort. It is almost always one step in the process — one approval, one handover, one person — through which everything must pass.

## Finding the bottleneck

Process improvement begins with observation, not software. Take one order, one client, or one file and follow it physically through your business from start to finish. Note every point where it waits. In almost every growing business, work spends far more time waiting than being worked on.

The usual suspects:

- Approvals that only the founder can give - Handovers between departments with no clear owner - Rework loops caused by unclear requirements at the start - One skilled person doing a task that could be standardised and delegated

## Fixing it — in the right order

Before you hire or automate, do three things to the bottleneck step:

1. **Clarify** — define what good input and good output look like for that step. 2. **Relieve** — move anything that does not truly need the bottlenecked person off their plate. 3. **Standardise** — turn the step into a checklist or SOP so its output is consistent.

Only then consider adding capacity. Hiring into a broken process simply makes the chaos more expensive.

## The compounding effect

Every hour saved at the bottleneck is an hour added to the entire business's capacity. That is why operational excellence work — however unglamorous it looks from the outside — routinely outperforms growth spending. Fix the constraint, and the whole system speeds up.
